General Introduction of OIA

The Office of International Affairs (OIA, including Hong Kong, Macao and Taiwan affairs) serves the University of Science and Technology Beijing by implementing state foreign affairs initiatives and coordinating both cooperation and communication with overseas institutions. It acts as an key facilitator for expanding USTB’s collaborative efforts in education, research and cultural exchange. The Office is divided into several sections which are responsible for tasks including the management of foreign experts, international exchange programming, travel, etc.

General Management Section

Arrangement, coordination and supervision of entire office, reception activities, and foreign exchanges at the university level.

1. Recording meeting minutes, preparation of annual review materials;

2. Receive and transmit official documents for submission;

3. Planning and organization of large-scale foreign affairs activities;

4. Liaison with and management of USTB-DMU Confucius Institute;

5. Facilitate exchange and cooperation with universities in Hong Kong, Macao and Taiwan;

6. Oversee university-level foreign visits, contact and receive foreign visitors on behalf of superior departments;

7. Management of data regarding foreign visitors;

8. Implementation of “New USTB” Plan;

9. Fiance review and reimbursement management;

10. Work with department leadership to facilitate personnel management.

International Travel Services Section

Management of passports, visas, and related paperwork for faculty and students for both short-term trips and long-term study abroad programs.

1. Receive approval for faculty travel, management of passport/visa/related documents;

2. Notarization services for faculty;

3. Manage confidentiality affairs related to teachers traveling abroad;

4. Receive approval for student travel, management of passport/visa/related documents;

5. Manage confidentiality affairs related to students traveling abroad;

6. Management of online declaration system for traveling abroad.

Student Exchange Programs Section

Coordinating communication with well-known foreign universities and institutions, overall management of inter-school exchanges, cooperative projects, international activities, etc.

1. Overall management of overseas student exchange programs;

2. Coordination with partner universities for student exchange programs;

3. Planning and implementation of summer school programs;

4. Examination and approval of proposed Sino-foreign cooperative programs;

5. Management of international academic and cultural exchanges;

6. Application for and management of joint research programs with Taiwanese universities.

Overseas Experts Affairs Section

Recruitment of new foreign experts, management of current foreign experts, establishing approval for international conferences, etc.

1. Program management for the recruitment of high-level foreign experts;

2. Declaration and management of honorary academic titles (i.e. honorary professorship, etc.);

3. Provision of international services and management of foreign experts;

4. International conference approval procedures and fee management;

5. Establishment and management of international cooperation and research ventures.

International Publicity Section

Promotion and implementation of university internationalization initiatives.

1. Promotion of Office of International Affairs work;

2. Design, coordinate and update university and OIA English websites;

3. Planning and production of university promotional materials;

4. Implementation of new internationalization initiatives;

5. Cooperation with university departments for the purpose of overseas publicity activities;

6. Cooperation with university departments to facilitate international communication;

7. Cooperation with university departments in order to build an international campus.
